Role

This position will be responsible for helping to hire new PPN’s/Contractors, managing PPN invoices, and maintaining overall PPN/Contractor relationships. As a Dispatcher they will be responsible for communicating the customer’s needs and service histories to field employees.  They must dispatch all area technicians and maintain the database per the company’s policies and procedures.  The candidate must also ensure the efficiency of the field employees and provide proper support and communication to both internal and external customers.

Responsibilities

  • Request invoices from Peer Partner/Contractor (PPN’s)
    • Needs to be able to read and understand invoicing
  • Request insurance from PPN’s
  • Hiring new PPN’s
  • Fixing invoice issues from the PPN’s
  • Keep dispatch boards (manual & electronic current at all times)
  • Follow the set process flow for managing all customer requests
  • Communicate the required information to the field and management per company policy
  • Support field personnel and management on customer and company requirements as well as making sure tasks and calls are completed in an expeditious manner
  • Data entry of service performance and information and updates to the customers
  • Schedule in an efficient manner and with Management support, as needed
  • Proper purchasing and PO issuing as needed to support the market
  • Clear all new calls and history afterwards present to Manager for scheduling approval
  • Verification on IVR, check-in/out for all customers with technicians
  • Ensuring all technicians get the parts required to perform service
  • Communicate the required information to the field and management per company policy
  • Support field personnel and management on customer and company requirements as well as making sure tasks and calls are completed in an expeditious manner
  • Treat all customers and employees with respect
  • All other duties as assigned 

Qualifications

  • Extremely high level of urgency to resolve problems
  • Strong organizational skills with ability to manage multiple tasks, prioritize, and meet deadlines
  • High level of computer skills, Experience with Microsoft Office, including Word & Excel
  • Ability to focus on desired results
  • Ability to adapt to very fast-paced environment and deadlines
  • Strong attention to detail
  • Excellent interpersonal and communication skills, both written and verbally
  • Works well in a team environment 
  • Level of urgency to resolve problems

Education and Experience

  • High school diploma/GED required
  • Prior Dispatch Experience required
  • Experience in HVAC Industry or other service business preferred

Physical Requirements

  • Able to operate a computer and other office productivity machinery, such as a copy machine, telephone and computer printer.
  • Continuously able to work in office environment

  • Able to alternate between sitting and standing, as needed throughout the day

  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching 
  • Rarely requires climbing
