Role

As a Safety/Risk Administrator, you play a key role in optimizing and maintaining the
organization's safety and risk management processes. Your responsibilities include configuring,
customizing, and managing the safety/risk software solutions to improve collaboration,
streamline workflows, and ensure seamless information flow across departments. This position
also involves enforcing safety policies, distributing safety-related information, and analyzing
safety/risk statistics.
The ideal candidate must have strong technical and computer skills, including proficiency in
Microsoft Office Suite, spreadsheet design, and a deep understanding of Smartsheet
capabilities. In addition, experience with HSE (Health, Safety, and Environmental) practices is
essential. The Safety/Risk Administrator must be able to work effectively with cross-functional
teams to drive safety initiatives and continuous improvement.

Responsibilities

  • Configures and customizes Smartsheet/HSE workspaces, sheets, and templates to
    meet organizational needs
  • Designs and implements automated workflows, integrations, and data validations within
    Smartsheet and other HSE-related software
  • Provides training and support to end-users on Smartsheet and other HSE-related
    software functionalities
  • Acts as the go-to person for Smartsheet/HSE-related queries and troubleshoots issues
    as they arise
  • Collaborates with stakeholders to identify opportunities for improving business
    processes through Smartsheet or other HSE-related software
  • Integrates Smartsheet and other HSE-related software with external tools and platforms
    to create a seamless work environment
  • Ensures data security and compliance with organizational policies by implementing
    appropriate access controls and permissions within Smartsheet and other HSE-related
    software
  • Maintains detailed documentation of Smartsheet/HSE configurations, workflows, and
    processes
  • Creates user guides and documentation to facilitate the onboarding of new users
  • Stays informed about Smartsheet/HSE updates, features, and best practices
  • Proactively identifies opportunities for process improvement and optimization within
    Smartsheet and other HSE software environments
  • Helps enforce company safety policies to establish a culture of health and safety
  • Evaluates practices, procedures, and facilities to assess risk and adherence to the law
  • Helps safety and risk teams identify opportunities to minimize workplace injuries,
    accidents, and health problems
  • Maintains internal safety standards and policies developed by the safety/risk department
  • Reviews daily accident and incident reports submitted by employees via the company’s
    Health and Safety Portal
  • Provides safety plans and recommendations on unsafe conditions within the region
  • Monitors MVR licenses for loss of license, DUI, and state-mandated compliance through
    software, recommending actions as necessary within regional offices
  • Maintains OSHA logs and assists with OSHA inquiries and investigations
  • Completes assigned tasks in a safe, accurate, thorough, and alert manner
  • Upholds Company policies and procedures
  • Works in a professional manner with managers, supervisors, coworkers, customers, and
    the public
  • Other related job duties as assigned

Qualifications

  • Expertise in Smartsheet and HSE software, integrations, and process optimization
  • Excellent written and verbal communication for user guides, reports, and training
  • Excellent organizational skills and ability to manage multiple tasks
  • Proficient in configuring, customizing, and automating workflows in Smartsheet and HSE
    software
  • Proficient in Microsoft Office Suite and similar software
  • Understanding of OSHA regulations, safety compliance, and risk management
  • Strong decision-making, analytical, and problem-solving abilities
  • Strong attention to detail, ensuring data accuracy and compliance
  • Familiarity with project management principles and methodologies
  • Knowledge of data security, access controls, and compliance standards
  • Strong troubleshooting, problem-solving, and support skills for software solutions
  • Analytical skills to interpret safety/risk data and identify areas for improvement
  • Smartsheet and HSE software certifications or proven project experience
  • Experience with Smartsheet API and integrations
  • Ability to quickly adapt to new software tools and evolving safety/risk management
    systems
  • Ability to collaborate across teams to implement safety initiatives and improve processes

Education and Experience

  • High School diploma required, with at least 5 years of relevant experience; Associate's
    or Bachelor's degree preferred
  • Proven experience as a Smartsheet Administrator or in a similar role
  • Extensive knowledge of Smartsheet functionalities, formulas, and integrations
  • Strong understanding of HSE software functionalities, formulas, and integrations
  • Exceptional communication and interpersonal skills
  • Ability to work both independently and collaboratively in a fast-paced environment
  • At least two (2) years of related Smartsheet experience preferred
  • Previous experience in HVAC Industry or other service business preferred

Physical Requirements

  • Continuously able to operate a computer and other office productivity machinery, such as
    a copy machine, telephone, and computer printer
  • Continuously able to sit at a computer for up to 8 hours
  • Continuously requires vision, hearing, twisting, and talking
  • Able to alternate between sitting and standing, as needed throughout the day
  • Occasionally able to lift up to 25+ lbs. at a time
  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling,
    bending, and crouching
  • Ability to travel as needed
