What You’ll Be Doing

We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team in the HVAC industry. This individual will play a key role in supporting day-to-day office operations, assisting with customer service, scheduling, and providing administrative support to management and field teams. The ideal candidate is proactive, reliable, and thrives in a fast-paced environment where multitasking and communication are essential.

Responsibilities

  • Time Trax- Detailed Payroll Report every Mon and or Tue
  • Parking tickets--letters, paying and emails to teks, keeping log current
  • Entering new customers and updating changes to customers
  • EZ Pass check of bill
  • Entering all warranty claims
  • Attach new customer contracts to the customer
  • New contract customer checklist top section
  • Vehicles-maintenance, Enterprise, GPS, insurance, registration, repairs. Available at all times to handle vehicle issues.
  • Vehicle Logs--maintain as current and collect and distribute vehicles
  • Accident Claims, workers comp claims, and liability claims, leave forms--submitting and updating and keeping accurate
  • Files and logs
  • Drive & pick up vehicles at repair shops/ dealerships
  • Office PO log--just auto repairs
  • GPS's--maintaining and updating
  • Rentals for both office po's and parts po's
  • Office phone maintenance and repairs
  • Office copy machine and printers' maintenance and repairs
  • COD's--handling from start to finish
  • Bank and post-office runs
  • Scanning, copying, emailing various
  • Vacation emails every Friday and putting vacation requests onto calendar
  • Distributing mail
  • Preparing out-going mail
  • Helps with sending statements and monthly contract invoices
  • Sorting and checking monthly Enterprise bill

Qualifications

  • Ability to adapt to change and support change in a fast-moving environment

  • Exceptional people skills, developed through experience in client-facing roles or customer service and support
  • Excellent and creative problem-solving skills
  • An ability to adjust to changing workflows and demands
  • Proficient with Microsoft Office and Excel

What We’re Looking For

  • High school or equivalent, Associate Degree/Bachelor's Degree preferred  
  • 5 years of experience as an Administrative Assistant, Office Manager, or equivalent at a privately owned company of 100+ employees 
  • Advanced knowledge of Microsoft Office: Outlook, Excel, PowerPoint, word, etc.  
  • Experience writing communications for an internal or external audience 
    •  

Physical Requirements

  • Able to operate a computer and other office productivity machinery, such as a copy machine, telephone and computer printer.
  • Continuously able to work in office environment

  • Continuously able to sit at a computer for up to 8 hours
  • Able to alternate between sitting and standing, as needed throughout the day
  • Occasionally able to lift up to 15 lbs.

  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching
  • Occasional travel, as needed
