What You’ll Be Doing

The Billing Manager, reporting to the Senior Manager of Financial Shared Services, will oversee the Billing team and ensure accuracy, timeliness, and continual enhancement of billing operations. This role requires maintaining strong internal controls, delivering exceptional service to both internal and external stakeholders, and driving operational excellence. As a key contributor to the Company’s growth, the Billing Manager will support strategic initiatives and foster process improvements within the Financial Shared Services organization.

 

  • Own and execute a comprehensive billing strategy (including customer online portals) aligned to company growth and financial goals.
  • Lead, coach, and develop a high-performing Billing team; setting clear KPIs/SLAs, elevating accountability, and celebrating wins.
  • Partner across Finance, Operations, IT, and Executive Leadership to support cross-functional initiatives that enhance cash flow, accuracy, and customer experience in a service-driven HVAC/R environment.
  • Standardize and optimize billing processes for scale—documenting best practices and driving continuous improvement.
  • Define, track, and analyze KPIs/SLAs to boost accuracy, timeliness, DSO reduction, and customer satisfaction.
  • Champion automation and system enhancements to eliminate manual work and reduce errors.
  • Serve as the escalation point for complex billing and portal issues—problem-solve quickly and keep stakeholders informed.
  • Collaborate with IT/Finance on new tools and reporting to strengthen billing accuracy, visibility, and user experience.
  • Maintain robust internal controls, audit readiness, and compliance with company policies and regulatory requirements.

Responsibilities

  • Develops and executes a comprehensive billing strategy, including Online Portals, aligned with organizational and financial objectives
  • Leads, coaches, and manages the Billing team, ensuring high performance, accountability, and professional development
  • Collaborates with finance, operations, IT, and executive leadership to support cross-functional initiatives and organizational goals
  • Drives continuous improvement by evaluating, standardizing, and optimizing billing processes for scalability and efficiency
  • Defines, tracks, and analyzes key performance indicators (KPIs) and service level agreements (SLAs) to improve accuracy, timeliness, and customer satisfaction
  • Leads automation efforts and system enhancements to increase efficiency, scalability, and reduce manual errors
  • Serves as the primary escalation point for complex customer billing and portal-related issues, ensuring timely resolution
  • Partners with IT and finance teams to implement new tools and system improvements that enhance billing accuracy, reporting, and user experience
  • Maintains robust internal controls, ensures audit readiness, and enforces compliance with company policies and regulatory requirements
  • Completes assigned tasks in a safe, accurate, thorough, and alert manner
  • Upholds Company policies and procedures
  • Works in a professional manner with managers, supervisors, coworkers, customers, and the public
  • Performs other related duties as assigned to support organizational success

Qualifications

  • Ability to communicate complex information clearly and effectively, both verbally and in writing

What We’re Looking For

  • Bachelor’s in Finance, Accounting, Business, or related field—or equivalent experience.
  • 5+ years in billing operations/shared services/transactional accounting with 3+ years leading teams.
  • Proven record driving automation, digital transformation, and measurable KPI/SL A improvements.
  • Data-driven operator with strong analytical skills; advanced Excel and ERP/finance tech proficiency.
  • Process-improvement mindset; Lean/Six Sigma exposure preferred.
  • Exceptional communication, stakeholder management, and escalation handling.
  • Experience in HVAC or service-based industries a plus; thrives in a fast-paced, multi-site environment.

  • Continuously able to work in office environment
  • Continuously able to operate a computer and other office productivity machinery, such as a copy machine, telephone, and computer printer
  • Continuously able to sit at a computer for up to 8 hours
  • Able to alternate between sitting and standing, as needed throughout the day
  • Occasionally able to lift up to 15
  • Continuously requires vision, hearing, twisting, and talking
  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching
  • Rarely requires climbing
  • Ability to travel on occasion
