What You’ll Be Doing

 

The Service Department Coordinator is responsible for supporting daily service operations in a fast-paced, customer-focused environment. This role manages service calls, work orders, purchase orders, technician support, and communication between management, vendors, customers, and field technicians. Responsibilities include coordinating logistics for parts and equipment, processing paperwork, tracking shipments, maintaining technician time records, and ensuring warranty compliance. The position also provides remote technical support to field technicians and assists with sourcing parts and repair solutions.

Responsibilities

General Service Department Responsibilities include but not limited to:

  • Opening service calls / issuing purchase orders to vendors
  • Progressing work orders through the system
  • Heavy phone activity / fielding Service Department calls
  • Daily communication with management, vendors, and technicians
  • Working with technicians to gather information for repair / project quotes (parts/material needs)
  • Partner with Service Managers to coordinate logistics of parts / equipment deliveries.
  • Manage technicians through warranty service requests by ensuring compliance with warranty guidelines, policies, and procedures. 
  • Maintaining daily time sheets for the field technicians and monitor GPS monitoring system
  • Assisting with technician closeouts at the end of each call and update work orders with status notes, updates, and pertinent information.             
  • Service Department support includes daily work order closeouts, paperwork processing, facilitating part orders, tracking shipments, communication with technicians, etc. 
  • Assist with parts related tasks i.e. issues PO’s to vendors, receive parts and facilitate part returns for unused parts
  • Provide technical assistance to field technicians remotely from office and assist with repairs
  • Work with manufacturers on part procurement, sourcing, alternative repair options for obsolete parts, etc.
  • General office clean up and maintenance including weekly office trash removal to the onsite dumpster
  • Maintains a safe and clean work environment
  • Washes/cleans company vehicles and forklifts and assisting with the scheduling of maintenance as needed
  • Moves inventory and materials throughout the warehouse
  • Handles products with utmost care
  • Packages items and label correctly
  • Reports damaged or missing inventory to supervisors
  • Stacks and organizes large bulk items
  • Handles and operate necessary tools and accessories in maintaining and managing a warehouse
  • Works as an active team member to complete team goals
  • Assists in organizing and maintaining up to date records of inventory
  • Prepares documentation and inventory for audits
  • Drives to pick up HVAC/R parts and equipment from supply warehouses and facility warehouses, deliver parts and equipment to field technicians, as needed
  • Directs other forklift drivers to store goods in identified areas, as needed
  • Integrates best practices in handling warehouse materials
  • Other related duties as assigned 

To be successful in this role, the candidate should possess excellent communication skills and be able to multi-task.  This is a fast-paced office environment, and the nature of our business is emergency service.  Candidate must be able to juggle multiple tasks at once and prioritize.  Strong candidates should be organized, responsible, customer sensitive and be an effective communicator.  Ability to think outside the box and excellent follow up skills are a must!

  • Previous experience in a similar office role / service industry experience

  • Highly organized and able to store items efficiently
  • Must follow all health and safety procedure and regulations as dictated by the organization and the state

Physical Requirements

  • Continuously able to work in office environment
  • Continuously able to operate a computer and other office productivity machinery, such as a copy machine, telephone, and computer printer
  • Continuously able to sit at a computer for up to 8 hours
  • Able to alternate between sitting and standing, as needed throughout the day
  • Continuously requires vision, hearing, twisting, and talking
  • Occasionally able to lift up to 15 lbs
  • Occasionally requires walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching
  • Rarely requires climbing
  • Continuously requires vision, hearing, twisting, and/or talking
  • Able to alternate between standing, sitting, walking, lifting, carrying, reaching, kneeling, pushing/pulling, bending, and crouching
  • Able to operate an iPad, cell phone, computer and/or other office/work-related machinery
  • Able to travel as needed on daily basis
  • Must be able to safely use ladders and other equipment in accordance with manufacturer’s weight limits
  • The ability to ascend, descend, and work at heights while maintaining proper safety measures and without exceeding the specified weight limits of the equipment is essential
